Job Overview:
The Project Coordinator is responsible for coordinating travel, accommodation, and site logistics to ensure personnel are deployed efficiently and on schedule. The role also supports workforce administration by assisting with onboarding documentation, orientation scheduling, timesheet maintenance, and other employee-related administrative tasks. Working closely with clients, vendors, airlines, hotels, camps, and transportation providers, the Project Coordinator helps ensure smooth project operations while delivering timely logistical support and maintaining positive stakeholder relationships.
PURPOSE OF POSITION:
The purpose of the Project Administrator is to produce the following results:
- Project personnel arrive at site on time, and with all required travel arrangements completed cost-effectively and with a minimum amount of hassle.
- Project staff feel fully supporting and are receiving timely support for travel, accommodation, camp, and logistical requirements.
- Positive relationships are maintained with employees, clients, vendors, airlines, hotels, camps, and transportation providers.
RESPONSIBILITIES:
- Deal with difficult construction site personnel on a regular basis (has an ability to joke and not take things personally)
- Is available to take calls after hours if site staff need assistance.
- Has good knowledge of Canada geography as it pertains to main booking hubs, site and office locations
- Coordinate all travel arrangements for project personnel, including flights, hotels, rental vehicles, camp accommodations, and ground transportation.
- Manage workforce rotation schedules and maintain accurate travel and mobilization trackers.
- Communicate travel itineraries and logistical information to employees and project teams.
- Coordinate new-hire mobilization requirements, including travel, accommodations, and onboarding logistics.
- Maintain site communication logs, personnel rosters, emergency contact information, and travel records.
- Assist with site staff onboarding documentation, orientation scheduling, and workforce administration and maintaining timesheets.
- Track and reconcile travel-related expenses, invoices, and vendor charges.
- Liaise with airlines, travel agencies, accommodations, camp providers, and transportation vendors.
- Support project teams with administrative tasks including document control, data entry, reporting, and meeting coordination.
- Ensure compliance with company policies, client requirements, and project-specific travel procedures.
- Assist with emergency travel changes, schedule adjustments, and workforce logistics issues as required.
- General project document control and submittals
- Support site and office management teams with general administrative and coordination duties.
- Minimum of 3-5 years’ experience in logistics, HR, and travel coordination
- Experience in the construction industry is an advantage but not required. Candidates with strong experience in logistics and travel coordination will be given primary consideration.
- Excellent coordination and communication skills.
- Highly proactive and able to work with minimal supervision.

8:00 AM to 5:00 PM Pacific time (11:00 PM to 8:00 AM Philippine time) with an hour break for lunch.
