About the Role

We are looking for an Executive Assistant to support our leadership team and to help support smooth operations across Wirecutter, a beloved brand that millions of people turn to for product recommendations and advice. In this role, you'll enable effective work across a cross-functional, highly collaborative organization: you'll manage complex calendars, coordinate key meetings and events, support execution on leadership-level priorities, and own multiple core operational processes for Wirecutter, with special projects as assigned. While a portion of your time will be focused on individual support for leaders with heavier external-facing and administrative needs, the role is designed primarily to support the leadership team and Wirecutter department as a whole.

Across these responsibilities, you'll help set the tone for how we collaborate and maintain a healthy work culture. We're looking for someone who connects dots between different conversations, and spots opportunities to improve systems. This is a unique opportunity to get exposure to leaders from a range of fields (including journalism, digital product development, business development, and operations) and help foster growth at a successful, evolving organization.

This is a temporary-to-permanent position. This hybrid position is based in our New York office, where you will report directly to Wirecutter's Director of Business Operations.

Responsibilities:

  • Executive & Leadership Team Support

    • Help keep the leadership team and its priorities on track, including by coordinating leadership-level meetings, tracking the status of action items and follow-ups, and anticipating upcoming needs.

    • Support successful, end-to-end execution of leadership onsites and other large meetings, from managing planning details to helping ensure that time is well spent and takeaways are clear.

    • Manage budget and expenses for the Office of the GM.

    • Support multiple leaders on an individual level, primarily by:

      • Managing and prioritizing complex calendars, serving as a thoughtful gatekeeper of time and requests to ensure leaders focus on the highest-impact work.

      • Supporting leaders with travel and entertainment (“T&E”) needs, including gathering receipts, preparing and submitting expenses, and tracking approvals.

      • Coordinating logistics for external/client-facing activities (meetings, entertainment, events), including scheduling, reservations, confirmations, and basic follow-ups.

    • Partner with other admins to ensure coverage, share best practices, and provide backup support when needed.

  • Department Operations, Logistics & Culture

    • Provide day-to-day operational coordination for the department, helping ensure that key org-wide workflows run smoothly and support our culture — a few illustrative examples of workflows here include timekeeping in Workday, anniversary recognition logistics, and the coordination behind staff-wide gatherings and moments.

    • Maintain operational artifacts and “sources of truth” such as staff lists, org charts, distribution lists, and simple trackers or dashboards.

    • Be the steward of Wirecutter's assigned space at the Times' Manhattan office: manage seating assignments, guide protocols, and help staff with questions and feedback related to the office.

    • Partner with finance and operations team members on T&E processes for the department, including maintaining clear, accurate information for budgeting and policy alignment.

  • Special Projects

    • Provide light project management support on strategic initiatives and special projects as assigned.

    • In partnership with the Director of Business Operations, proactively look for and take on opportunities to improve Wirecutter's “business operating system” — such as meeting cadences, templates, communications systems, and other tools for effective cross-functional work.

    • Build strong, trusting relationships across functions and levels, navigating the organization effectively and connecting stakeholders as needed.

  • Demonstrate support and understanding of our value of journalistic independence and a strong commitment to our mission to seek the truth and help people understand the world.

Basic Qualifications:

  • 3+ years experience in an administrative, executive assistant, or operations coordinator role, supporting multiple leaders.

  • Exceptional interpersonal skills with a natural ability to read the room, build authentic trust, and navigate a highly collaborative environment with empathy, tact, and discretion.

  • Experience managing competing demands, with strong organizational skills and meticulous attention to detail.
