Role Summary
We’re looking for an experienced Executive Assistant to support 2-3 Senior Leaders across the Product organization, with an equal split of support across each leader. This is a high-trust, high-impact role at the heart of a fast-paced product organization. You’ll bring calm, structure and momentum - owning complex diary management, travel coordination, expenses, and the planning and delivery of team events and leadership forums.

What You’ll Do
Manage end-to-end diaries for 2-3 Senior Leaders (equal split), proactively resolving clashes and protecting focus time.
Coordinate complex meetings: stakeholders, agendas/pre-reads, rooms/Teams links, and action follow-ups.
Arrange domestic and international travel end-to-end, including contingencies and last-minute changes.
Manage expense claims and approvals accurately and on time, ensuring policy compliance and correct coding.
Coordinate team events/offsites and leadership forums (virtual/in-person), including vendors, comms, run sheets and logistics.
Draft, format and quality-check leader communications, briefings and presentation materials.
Maintain organized records and shared team spaces (Teams/SharePoint/OneDrive) for fast access and governance.
Continuously improve ways of working - templates, meeting hygiene and repeatable admin processes that reduce friction.
Qualifications & Experience
5+ years’ experience as an Executive Assistant (or senior admin) supporting multiple senior leaders.
Demonstrated strength in complex diary management, prioritization and stakeholder coordination.
Proven experience coordinating travel end-to-end and managing expenses (claims, approvals, compliance).
Experience planning and delivering team events/offsites with strong attention to detail.
High proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel) and document/presentation polish.
High discretion, sound judgment and the ability to thrive in a fast-paced, changing environment.
