Job Description

Position: Executive Assistant

Location: Remote (LatAm)

Employment Type: Part-Time (10 - 20 Hrs/Week)

Working Hours: M-F | PST hours

Type of contract: Independent contractor 

Scope of the role:

We are seeking a highly organized and proactive Executive Assistant to support a fast-paced client in managing their time, commitments, and administrative workload.

This role goes beyond basic administrative support. You will be responsible for ensuring the client’s schedule, travel, and day-to-day logistics run efficiently, with a strong focus on organization, prioritization, and clear communication.

The ideal candidate is detail-oriented, resourceful, and able to anticipate needs, resolve scheduling challenges, and maintain structure across both professional and personal responsibilities.

Responsibilities:

  • Own and manage the client’s calendar across multiple time zones (primarily West and East Coast U.S.)
  • Schedule and coordinate meetings, appointments, and commitments with attention to priorities and timing
  • Identify and resolve scheduling conflicts proactively
  • Plan and coordinate travel arrangements, including flights, accommodations, and itineraries
  • Organize information, documents, and workflows into structured systems (primarily Google Docs, Sheets, and shared tools)
  • Maintain clear and up-to-date records of schedules, plans, and key information
  • Support both business and personal administrative tasks as needed
  • Communicate consistently with the client to ensure alignment on priorities, deadlines, and changes

Requirements:

  • Proven experience as an Executive Assistant, Personal Assistant, or Administrative Assistant
  • Strong experience managing complex calendars across multiple time zones
  • Excellent organizational and time management skills with the ability to handle multiple priorities
  • High attention to detail and accuracy in execution
  • Proficiency in Google Workspace (Google Calendar, Docs, Sheets)
  • Strong written and verbal communication skills
  • Ability to work independently and follow through on tasks without constant direction
  • Comfortable supporting both professional and personal administrative needs
  • Availability to overlap with the client’s working hours (7AM–4PM Pacific Time)
  • Based in Central America preferred for timezone alignment
