Job Role: Financial Controller

Compensation range: $1,800 - $2,500 AUD/month

Engagement type: Independent Contractor

Work Schedule: This role is expected to align with the AU business hours (approx. 9.00 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Our client is a fast growing founder-led business operating across the digital content, ecommerce, and creative brand space. The business manages multiple revenue streams including content/media operations, online product sales, and brand-focused creative services. They are highly systems-driven and focused on building scalable financial and operational processes to support continued growth across international markets.

The team values autonomy, accountability, proactive problem-solving, and strong operational thinking. This role will work closely with the CEO and become a key part of maintaining visibility and control across both business and financial operations.

About the Role

We are looking for a highly capable and proactive Financial Controller to support a growing multi-business operation spanning ecommerce, digital media, and brand studio services.

This is not a traditional bookkeeping-only role. We are seeking someone who can operate as a hybrid Financial Controller, Senior Bookkeeper, and Finance Operations Manager who is comfortable managing both strategic financial processes and hands-on operational finance tasks.

You will oversee financial administration across multiple entities while also supporting founder-level financial coordination and operational workflows. The ideal candidate is highly autonomous, detail-oriented, systems-minded, and able to take ownership quickly with minimal hand-holding.

This role requires someone who thrives in fast-paced founder-led environments and is comfortable navigating multiple systems, platforms, and workflows independently.

Key Responsibilities:

Financial Management & Accounting

  • Manage end-to-end bookkeeping and financial administration across two business entities
  • Handle client invoicing, accounts payable, and accounts receivable processes
  • Perform account reconciliations and maintain accurate financial records
  • Prepare and organise financial data for accountants and tax compliance purposes
  • Manage cash flow tracking, forecasting, and financial planning
  • Prepare regular financial reports and budget forecasts
  • Ensure financial records remain organised, accurate, and audit-ready

Ecommerce & Operational Finance Support

  • Support ecommerce financial operations including inventory tracking and management
  • Assist with cost of goods sold (COGS) analysis and forecasting
  • Monitor operational spending and profitability trends
  • Support backend ecommerce processes including Shopify administration where required
  • Assist with duplicate product page management and operational coordination tasks
  • Work closely with logistics and fulfilment workflows across multiple systems

Founder Financial & Administrative Support

  • Manage and reconcile founder-related expenses including AMEX transactions
  • Organise financial records and supporting documentation for tax purposes
  • Assist with financial administration and personal expense management
  • Maintain visibility and organisation across both personal and business finance operations

Payroll & Team Operations

  • Support payroll administration for a US-based team
  • Coordinate with automated US payroll systems and processes
  • Assist with operational administration related to:
    • 401k coordination
    • healthcare and insurance management
    • maintaining system logins and insurance details through OnePass systems
  • Ensure payroll and team operational records remain accurate and up to date

Systems, Process & Operational Coordination

  • Document financial workflows, operational processes, and internal procedures
  • Build SOPs and process manuals to improve transparency and continuity
  • Coordinate across multiple operational systems and platforms
  • Support backend operational systems including logistics and 3PL coordination where needed
  • Ensure the founder and CEO maintains clear visibility across financial and operational activities
  • Identify opportunities to improve processes, automation, and reporting efficiency

Required Skills and Qualifications:

  • Proven experience as a Financial Controller, Senior Bookkeeper, Finance Operations Manager, or similar mid-senior finance role
  • Strong hands-on experience with Xero (essential)
  • Experience using Shopify within an ecommerce environment (essential)
  • Experience managing bookkeeping, reconciliations, reporting, and forecasting independently
  • Strong understanding of cash flow management and financial operations
  • Highly organised with exceptional attention to detail
  • Strong process documentation and SOP creation skills
  • Excellent written and verbal English communication skills
  • Ability to work autonomously with minimal supervision
  • Comfortable navigating multiple systems and operational platforms
  • Strong problem-solving and proactive thinking abilities
  • Ability to prioritise and manage multiple workflows simultaneously
  • High level of accountability and ownership mindset

Nice to have:

  • Experience supporting founder-led ecommerce or creator businesses
  • US payroll administration experience
  • Familiarity with inventory forecasting and COGS analysis
