THE ROLE

We're looking for an IT Assistant (eCommerce) to support our IT Specialist and help with the day-to-day execution of taking care of our e-commerce business / AI tools, and systems.

You'll help manage Shopify, maintain automations, handle access across our tools, and keep our SaaS subscriptions in check.

This is not a developer role. You don't need to code from scratch.

But you do need to be genuinely tech-savvy - someone who figures things out, builds with AI tools, and keeps everything running clean behind the scenes.

🚀 WHAT YOU'LL BE DOING

🛒 Shopify Administration

  • Manage apps end-to-end: install, configure, test, document, and audit quarterly

  • Build and schedule recurring reports for marketing, finance, CS, and ops

  • Own staff permissions, troubleshoot app conflicts, and liaise with vendors

⚙️ Shopify Flow Automation

  • Build and maintain Flow automations: order tagging, customer segmentation, inventory alerts, fraud detection

  • Apply clean conditional logic across Shopify data objects - orders, customers, products, metafields

  • Document every workflow, test before going live, deactivate what's obsolete

💻 Google Apps Script & API Integrations

  • Maintain and extend scripts connecting Shopify, Google Sheets, Gmail, and other tools

  • Work with REST APIs - handling requests, headers, auth, and JSON parsing

  • Use AI to generate and iterate on code - then read it, verify it, and own what ships

  • Keep a clean script inventory: owners, triggers, and dependencies documented

🔐 Access Management

  • Provision and revoke access across all platforms - clean, logged, and on time

  • Maintain a central access matrix and run quarterly reviews

  • Enforce least-privilege, 2FA, and secure credential sharing via NordPass

🔁 Recharge Subscription Flows

  • Configure subscription products, billing cadences, and customer-facing flows

  • Build retention logic: cancellation surveys, winback offers, save-the-sale sequences

  • Test every customer journey end-to-end before launch

🧑‍💼 Onboarding & Offboarding

  • Set up new hires across every platform and revoke everything fast when someone leaves

  • Maintain role-based access templates so onboarding is never improvised

💸 SaaS & Software Cost Management

  • Own the subscription register: every tool, cost, renewal date, and owner in one place

  • Flag unused seats, price increases, and overlapping tools before Finance asks

  • Negotiate with vendors, cancel trials, and cut what isn't earning its cost

🧠 WHAT YOU BRING

You're probably someone who:

  • Has hands-on Shopify admin and Flow experience

  • Can read, debug, and maintain Google Apps Scripts

  • Understands REST APIs: requests, JSON, authentication

  • Has worked with Recharge or a similar subscription platform

  • Knows how access management, RBAC, SSO, and 2FA work in practice

  • Uses NordPass or equivalent and treats security as non-negotiable

  • Is genuinely AI-literate: you prompt well, iterate fast, and know when to trust the output and when to check it

  • Can use AI effectively - prompting, iterating, and critically reviewing generated code

  • Documents everything

  • Communicates clearly in English with vendors, HR, and internal teams

  • Manages multiple moving parts

FIXED SERVICE FEE

€800- €1300 after taxes (depending on your skills, competencies, and experience).

At Foxelli Group, we primarily operate in the Eastern European Time Zone (EET), which is UTC+2 and UTC+3. We also use Revolut for payments, so we are open to hiring candidates in countries where Revolut payments are supported.

  • For full-time roles, we expect hires to be available during at least 5 hours of typical working hours in the EET time zone to ensure effective collaboration and communication.
