- This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Operations Associate based in Brazil. As an Operations Associate, you will help keep a fast-growing, global e-commerce operation running smoothly and efficiently. You will work across inventory, purchasing, logistics, supplier coordination, and operational data, ensuring critical processes stay accurate and on schedule. The role combines hands-on execution with analytical problem-solving, giving you visibility into how products move from suppliers to customers. You will collaborate with internal teams, international vendors, freight forwarders, warehouses, and logistics partners across multiple markets. Your attention to detail will help identify stock risks, resolve discrepancies, improve forecasting, and maintain reliable operational data. You will also contribute to building better processes and scalable SOPs as the business continues to grow. - Accountabilities: Support weekly end-of-hand inventory and sell-through updates, including communicating relevant operational updates across internal channels. Review planning files, spot-check formulas, identify data errors, and flag potential stock-outs and reorder requirements. Assist with monthly and quarterly forecasting reviews, new SKU setup, and coordination of approved marketing promotions. Track purchase orders, shipment status, delivery ETAs, and production timelines to maintain visibility across teams. Act as a day-to-day point of contact for international suppliers, including placing orders and confirming production and delivery dates. Coordinate purchase orders and shipping activities across suppliers, freight forwarders, warehouses, and domestic carriers. Manage assigned project-management tasks and ERP purchase orders, ensuring information remains accurate and up to date. Coordinate quotes, delivery schedules, and import logistics for products moving internationally and domestically. Manage vendor invoices and payment requests while supporting accurate procurement and financial administration. Maintain accurate PO and shipping records so internal stakeholders have clear visibility into operational progress. Partner with internal teams to drive task completion, resolve operational blockers, and maintain alignment on production and delivery timelines. Identify opportunities to improve operational workflows and develop or update standard operating procedures, including clear process walkthroughs. Support leadership and the wider operations team with ad-hoc projects, administrative needs, and new business initiatives. Requirements: 2+ years of experience in supply chain operations, inventory management, procurement, or another data-intensive operational role, ideally within a fast-paced e-commerce environment. Advanced spreadsheet skills across Microsoft Office and Google Workspace, with the ability to work confidently with large datasets, complex formulas, and data reconciliation. Strong attention to detail and a demonstrated ability to maintain data integrity, identify discrepancies, and resolve operational issues. Experience coordinating with domestic and international suppliers, vendors, freight forwarders, warehouses, and/or 3PL providers. Familiarity with project-management platforms such as ClickUp, Asana, Trello, or Monday.com and with ERP, IMS, or WMS systems such as Fulfil, NetSuite, Cin7, or Sage. Strong understanding of purchase-order, inventory, shipping, and supplier-management processes. A process-oriented mindset, with the discipline to follow established SOPs and the initiative to improve them when opportunities arise. Strong administrative, organizational, and reconciliation skills, particularly when managing procurement or inventory discrepancies. Excellent written and verbal communication skills, with the ability to collaborate effectively across internal teams and with external partners. Proven ability to navigate international shipping and logistics challenges while keeping multiple stakeholders aligned. Ability to manage multiple priorities, adapt quickly to changing requirements, and maintain reliable execution in a fast-moving environment. A proactive, ownership-driven approach with strong analytical and problem-solving skills. Experience using AI tools such as Claude or similar platforms to create spreadsheet formulas, simple automations, or operational documentation is a plus.
